Entry Fee Refund Policy

Tournament Applicant Refund

Applicants who withdraw their tournament application from the Scott Robertson Memorial Tournament before the application deadline date, March 23, 2018 will receive a refund of their entry fee, less at $15 administrative fee.

Once the deadline for the Scott Robertson Memorial entries has passed, those applicants that are accepted into the tournament field and withdraw will not receive a refund.

If a participant has an illness or injury, with a doctor’s excuse, or a death in the immediate family, they will receive a refund of their entry fee less a $15 service charge.

All tournament applicants are asked to declare on their applications if they intend to qualify if not accepted into the tournament field. If an applicant declares that they will not attempt to qualify on their application, their full entry fee will be returned to them shortly after the time that they are informed that they have not been accepted into the tournament field. (Examples – An applicant meets one of the entrance criteria, but does not make the tournament field, due to the field being filled prior to their category of entrance criteria. An applicant is applying for International Committee exemption.)

If you have declared that you will not attempt to qualify on the application and are not accepted into the tournament field, you will not be offered the chance to reconsider attempting to qualify. *Exceptions will be made for those in the Girls 14 and under division, should there be a qualifier for this division.

Applicants placed on an alternate list that do not get the opportunity to play will receive a full refund.


Qualifier Applicant Refunds

Applicants who withdraw their qualifier application from the Scott Robertson Memorial Tournament before the application deadline date, March 23, 2018 will receive a refund of their entry fee, less a $15 administrative fee.

If a participant withdraws due to an illness or injury, with a doctor’s excuse, or a death in the immediate family, they will receive a refund of their entry fee less a $15 service charge.

Applicants who decline to play in a qualifier after the entry deadline will receive a refund of their entry fee, less a $20 administrative fee. (Example – Applicant changes their mind about playing in the qualifier to which they applied.) *Exceptions will be made for those in the Girls 14 and under division, should there be a qualifier for this division.

Up to two weeks prior to the date of the qualifier, a participant may withdraw from the qualifier and receive the entry fee minus a $30 processing fee. ($70.00 if applicant has paid the $100 qualifier entry fee or $265 if the applicant paid the entry fee in full).

If a participant withdraws within two weeks of the date of the qualifier they will no longer receive a refund for the qualifier entry fee ($100.00). If the entry fee was paid in full, only the remainder of the original application fee. ($195.00)

If an applicant to the Roanoke Country Club qualifier in the Boys 15-18 division, request a change of date from the April 28th qualifier to the May 16th qualifier, they may do so without any penalty. However, if they then withdraw from that May 16th qualifier, they will forfeit their entry fee, unless it is a withdrawal for illness/injury or death of an immediate family member and there will be a $15 administrative fee.

Reminder: all withdrawals must be in writing. Preferably the withdrawal should be by e-mail for more immediate notification to the Entries Committee.
